Worldwide Experts in developing and administering highway maintenance contracts will gather to discuss different types of maintenance contracts from single item contracts to total asset management type contracts over a two day seminar. A field trip to local Florida DOT projects is included. Come learn the world wide state of the practice in contract maintenance of roadways, bridges and rest areas. The seminars’ expected audience is state DOT Chief Executive Officers, State Maintenance Engineers and State Contract Engineers.

Conference Attire

Dress for the conference will be business casual, but the 3 special events are all casual attire.

Conference Registration Information

Online registration is no longer being accepted for this conference. On-site registration will be available in the Crown Hall Foyer prior to the conference.

There is a limited number of spaces available at this seminar. Registration will be accepted on a first-come, first-served basis for state DOT personnel. A limited number of non-DOT personnel will be approved. Please e-mail Joe S. Graff, P.E. for approval. The registration fee is $175 through March 30, 2004. After March 30, the registration fee will be $200. Please make checks or money orders (U.S. currency drawn on a U.S. bank) payable to TTI-HWY Maintenance. Texas Transportation Institute’s Office of Conference Management Services (OCMS) also accepts Visa, MasterCard, and Discover credit cards. If paying by check or money order, you may register online and then mail your payment to OCMS. OCMS cannot invoice; therefore, payment of the conference registration fee must be received prior to admission to the conference.

For payment processing purposes, the vendor identification number for TTI-OCMS is 37277277275000. The federal identification number is 74-2270624.

Note: Conference registration is limited to the first 100 registrants. Attendance on the field trip is also limited. The first 80 individuals to register will be able to attend.

On-Site Registration

On-site registration will be available in the Crown Hall Foyer at the following times.

April 12 3:00 p.m. - 6:00 p.m.
April 13 7:00 a.m. - 9:00 a.m

The late fees listed above will be in effect at that time.

Cancellations

Only cancellations received in writing by OCMS by 5:00 p.m. April 6, 2004 will be refunded less $25 handling fee. No refunds will be issued after this date.

Speaker Information

Speakers will be responsible for producing their own PowerPoint presentations. Laptops will be available. Please send your presentation two weeks in advance to Joe S. Graff, P.E.

Exhibitor Information

Booths are limited to table-top display only with free literature and advertising items. Exhibitors are required to register according to the registration rate guidelines.

Exhibit Area

The Exhibitor Showcase will be located in the Crown Hall. The showcase will be open from April 13, 2004 (8:00 a.m.) - April 14, 2003 (4:45 p.m.)

To receive special conference rates, individuals should call the hotel directly at 407-827-3333 and identify the event as "AASHTO Sub-Committee for Maintenance Contract Workshop". Please confirm your room rate when you make your reservation and confirm this rate upon your arrival at the hotel. Please assist us in keeping conference costs down by meeting our room block requirements at this hotel. The discounted conference rate will be available until March 12, 2004.

To cancel your hotel reservation, 72 hours notice must be provided to the hotel to avoid any penalty fees. Departing prior to your check-out date will incur a $50 fee with less than one day’s notice.

Check-in time is 3:00 p.m. Check-out time is 11:00 a.m. Late check-out is available at an additional $50 fee before 2:00 p.m., or a half day’s room charge after 4:00 p.m.

Please note: Any attendee not identifying his/her affiliation with the group and not requesting the conference rate prior to check-in can not be extended the conference rate at a later date or during the meeting.

Parking

The Wyndham Palace Resort & Spa provides complimentary self-parking. Valet parking is also available at $10 per night.

Transportation

The Orlando International Airport is located 17 miles from the hotel. Mears Transportation (407-423-5566) charges $27 per person round trip or $15 one way for shuttle service. Mears can be found right outside the baggage claim area. Cabs range from $35-$45 each way. A cab can hold up to 5 adults, so depending on how many people are arriving at once, a cab may be more cost effective and time efficient as well.
